Help desk pricing looks simple on the marketing page and rarely is. Almost every tool charges per agent per month, then layers on AI usage, premium tiers and onboarding. The number that matters is the all in cost at your seat count and ticket volume, not the entry price. This guide breaks down the model, lists entry prices for the desks we rate, and shows where the bill tends to grow.

Agent count

Per agent pricing means the bill scales with the team. A tier that looks cheap at three agents is a real line item at thirty, so model your headcount a year out, not just today.

AI usage

Native AI agents are powerful but often metered. Intercom charges per Fin resolution and others sell AI as an add on, so estimate deflected volume before you assume AI saves money.

Tier upgrades

SLAs, advanced automation and reporting usually live a tier or two up. Most teams start on the entry plan and move up within a year, so price the tier you will need, not the one you start on.

Add ons and onboarding

Premium support, sandbox environments and guided onboarding are common extras. Enterprise plans sometimes require an annual commitment and a setup fee, which the sticker price hides.

Annual versus monthly

Most vendors discount annual billing by roughly fifteen to twenty percent. That saves money if you are committed, but locks you in, so trial on monthly before you sign a year.

Most desks charge per agent per month. Entry tiers run from about $7 to $55 per agent as of June 2026, with free plans on several tools. AI agents, premium add ons and onboarding sit on top, so a realistic budget is usually well above the sticker tier.

Which help desk has the best free plan?

Zoho Desk is free for three agents with email ticketing and a help center, and Help Scout and HubSpot Service offer free tiers too. Freshdesk has a free plan for one to two agents. Free tiers are great to start, but most teams outgrow them once they need automation or SLAs.

Why is my help desk bill higher than the advertised price?

Three reasons usually: you moved up a tier for SLAs or automation, you added a metered AI agent, and you pay per agent as the team grows. Annual billing helps, but model your real seat count, AI usage and add ons before you sign.
